Small businesses rarely run out of ideas. They run out of time. Proposals need writing, customers need answers and meeting decisions need turning into action. Together, those tasks take attention away from growth.
AI can help, but a quicker first draft is only useful if it improves the whole process. Start with clear inputs, a recognisable good result and someone responsible for checking the output.
These five workflows build on our introduction to practical business AI, adding a prompt, a review step and a measure of success.
1. Draft proposals from sales notes
Use discovery notes and approved service information to create a consistent starting point. The salesperson can then refine the recommendation.
“Draft a proposal from these notes and approved service descriptions. Include objectives, scope, exclusions and next steps. Do not invent prices, deadlines or capabilities. Flag missing information.”
Review: Check every promise, price and deadline against what you can deliver and what the customer requested.
Measure: Compare total preparation time, including review, with your usual process. Track drafts that need substantial rewriting.
2. Make customer replies consistent
An approved FAQ gives AI a reference for drafting answers to repeated questions about onboarding, opening hours or service arrangements.
“Draft a concise, friendly reply using only this approved FAQ. If the answer is missing or unclear, flag it for a team member. Do not create policies or make commitments.”
Review: Check that the answer fits the customer's circumstances. Direct complaints, refunds and unusual requests to the responsible person.
Measure: Track preparation time and corrections. Faster responses only help when they remain accurate and useful.
3. Make meeting actions accountable
A summary earns its place when it makes the next step clear. Ask AI to separate confirmed decisions from discussion.
“Extract confirmed decisions and actions from these notes. Include owners and deadlines only where stated. Mark missing details ‘to confirm’. List suggestions and unresolved questions separately.”
Review: Confirm the list with participants. A suggestion must not become a commitment because the summary sounds confident.
Measure: Track time to circulate agreed actions and how many need clarification afterwards.
4. Reuse your strongest marketing content
A useful article can become a customer email and social posts. AI can adapt the format while your team controls the message.
“Adapt this article into a short customer email and three LinkedIn posts. Preserve its meaning and our practical tone. Use only supported claims and give each piece one relevant call to action.”
Review: Check facts, remove generic wording and confirm that offers and links are current. Add the detail that reflects your business.
Measure: Compare production time alongside relevant enquiries or engagement. More content does not automatically mean better marketing.
5. Clarify recurring processes
Experienced staff often hold valuable knowledge in scattered notes. AI can organise those notes into a draft onboarding or handover checklist.
“Turn these process notes into a checklist for a new team member. Preserve the steps and responsibilities. Flag gaps and contradictions. Do not invent missing procedures.”
Review: Ask the process owner to check the draft, then have someone unfamiliar with the task follow it. Improve the steps where they get stuck.
Measure: Track omissions, requests for clarification and completion time.
Run a small pilot, then decide
Choose one workflow and record its current time, quality and cost. Test AI assistance over two weeks. Count input preparation, checking, corrections and tool costs when assessing the result.
Use a business-approved tool and check its data settings. Remove unnecessary personal details and keep confidential customer material out of unapproved services. Keep a named person responsible for the final output.
Continue only if the overall result improves. A clearer proposal or a handover with fewer omissions gives you useful evidence for the next decision.
